Author Guidelines for Poster Presentations
Poster presentations are organized in poster sessions, and poster sessions belonging thematically to the same overall topic are organized in separate poster areas. Each session is scheduled on a specific day with a specific time. Thereby, each session has a "Display Time" (determining the actual date of display) as well as an "Authors in Attendance Time" (determining the actual time of presentation).

Poster Boards
Poster boards are in landscape format with a dimension of 197 cm width x 100 cm height. The poster size is determined by the author. All the material necessary for attaching the poster to the poster board is available at the Facility Desks in the respective poster area. In addition, there are assistants to help authors in putting up or in taking down their posters. For each poster board there is a desk for placing the private notebook/MacBook for additional PowerPoint or video presentations. European-type power sockets are available.
The number of each poster paper and of its corresponding poster board is given in the appropriate session programme. The first part of this number indicates the poster area (A for Hall A, XY for Halls X/Y, XL for Hall XL, Z for Hall Z, and BG for Poster Area BG) and the second part the running number of the appropriate poster board in that area.
Display Time
The general display time is from 08:00–19:00. Authors are kindly asked to put up their posters on the day where the specific poster session is scheduled as soon as possible (08:00–09:00, but not in the evening before the scheduled display day) in order to enable the conference participants to view their posters at any time within the display day, and to take them down between 19:00–19:30. After this time, the remaining posters will be disposed by the conference staff, i.e. posters will not be stored anymore.
Authors in Attendance Time
The Authors in Attendance Time is the time when the respective author(s) of a poster session must be present at their display for presentation. The Authors in Attendance Time of each poster session is given in the programme.
Oral Summaries of Posters
Authors of poster papers should be prepared to provide ad hoc a summary of their poster presentation (1-2 slides) during the corresponding oral session in case a gap should occur in the time schedule and no stand-by paper should be available to fill in. In other cases the convener may have foreseen the presentation of poster summaries during the oral session.
Furthermore, specific lecture rooms are reserved to host so-called Poster Summaries and Discussion (PSD) sessions which are dedicated to the oral summary of poster papers. Please check the corresponding programme if your session has scheduled such an event.
Poster Print Service
We offer a poster print service. Please log in below by using your Copernicus Office user ID. You will be directed to the system cPaper provided by Webges Meeting Applications. You can choose your preferred format and paper quality, order additional handouts, check the price list, pay by credit card, and receive your poster in perfect quality on-site at the conference. Poster pickup is Sunday, 12:00–17:00, and Monday – Friday, 08:00–17:00 in the entrance hall.
Poster Preparation
Place the title of your paper prominently at the top of the poster to allow viewers to easily identify your paper. Indicate the authors' names and address information in order to allow interested viewers to contact you for more information.
Prepare all diagrams or charts neatly and legibly beforehand, in a size sufficient to be read at a distance of 1.5-2.0 metres. The type is recommended to be 2.5 cm high. Use creativity by using different font sizes and styles, perhaps even colour and double-space all text. Use different colours or textures for each line or bars contained in your graph or chart.
Organize the poster in a way that it is clear, orderly, and self explanatory. The poster must cover the same content as the abstract. Label different elements as 1, 2, 3, or A, B, C. This will make it easier for a viewer to follow your display.
Include the background of your research followed by results and conclusions. A successful poster presentation depends on how well you convey the information to an interested audience.
Poster No Shows
Including your abstract in the conference programme obliges you or one of your co-authors to actually present your contribution at the time and in the mode indicated. If you already know that your poster will not be presented you are asked to withdraw your corresponding abstract as soon as possible. Posters not presented are not only frustrating for those people present, but also costly as the board space is reserved for your poster. Please note that the organizers will be monitoring all poster no shows, and that a list of authors' names will be kept for the following year.
